Stock Main Form: Picture and Memo tab
Go to Stock Main Form > Picture and Memo tab.
The Picture and Memo tab allows you to manage product images and detailed product descriptions for each stock item.
You can use this tab to:
•Visual Management: Upload stock images to visually represent inventory items.Upload stock images to visually represent inventory items.
• Detailed Descriptions: Add manual memo fields or long descriptions.
•AI Generation: Automatically generate professional long descriptions using AI.
•E-Commerce Sync: Transfer product images and descriptions directly to supported online stores.
E-Commerce Integration
If you sell products online, stock images and Long Descriptions can be automatically transferred to your e-commerce platform.
Supported platforms include:
•PrestaShop
•Shopify
•WooCommerce
This allows product information maintained in Smart-IT to be used directly in your online store.
Managing Images and Attachments
To ensure your web store and internal records remain organized, the system distinguishes between public-facing images and internal attachments:
•Image Button: Click to add product images intended for publication on your web shop.
•Attachments Button: Use this for files, images, or documents meant exclusively for internal reference and office use (not published online).
Identifying Stock Items with Images or Attachments
To quickly review inventory status:
1. Go to: Stock Items > Extended Lookup.
2. Use the Img and Attachment columns to search, sort, and filter items based on whether they have linked media or files.
AI Generate Long Description
Save time by letting AI automatically write rich, conversion-friendly product descriptions for your online store.
How to Use
1. Open the stock item and navigate to the Picture and Memo tab.
2. Click AI Generate Long Description.
3. The AI compiles available stock details and applies your configured prompt template to generate the description.
Configuring the AI Prompt
You can customize how the AI writes your product descriptions:
Go to: Stock Items > Stock Options > AI Tab
The prompt can be customised to control how the Long Description is generated.
For example:
Generate an e-commerce product description for '{name}'.
Itemcode: {itemcode}
Barcode: {barcode}
Brand: {brand}
Model: {model}
Features: {features}
Include the {features} as a bulleted list. Use the heading: Supplied Features.
Include features found on the web. Use the heading: Features Found On Web.
Include the specifications as a bulleted list. Include every specification you know about the product. Use the heading: Spesifications.
Do not include product name as heading.
If the Brand name is missing then put in the brand.
If the Model is missing then put in the Model.
If the supplied barcode differs from the barcode found online, display the following message in red:
Please check the barcode: The provided code {barcode} differs from the barcode found for this model. The barcode found online is {found_barcode}.
If the supplied model number differs from the model found online, display the following message in red:
Please check the model number: The provided code {model} differs from the model found for this model. The model number found online is {found_model}.
If available, list the sources used to gather product information.
Important Product Information
For the best results, make sure the Item Name is as complete and accurate as possible. AI uses the Item Name to help identify the correct product when searching for information online.
For improved product identification:
•Enter the Brand Name in the Additional Info tab.
•Enter the Model Number in the Additional Info tab.
•Make sure the Barcode is correct.
The AI can then use the barcode, brand, model number, and item name to help verify the product information found online.
Barcode and Model Verification
When the AI prompt includes barcode and model verification, Smart-IT can compare the information entered on the stock item with information found online.
If a discrepancy is detected, the AI can display a warning so that the user can verify the barcode or model number before publishing the product information to the web shop.
Tip: The more complete and accurate the stock item information is, the more reliable the AI-generated Long Description will be.
