Customer Extended Lookup Form
Overview
The Customer Extended Lookup Form is an advanced customer management and analysis tool in Smart-IT.
It extends the standard Customer Lookup Form by providing enhanced filtering, bulk updates, reporting, and analytical views of customer data.
Also referred to as:
Customer Extended Lookup, Extended Customer Lookup, Advanced Customer Lookup.
Accessing the Customer Extended Lookup Form
Navigate to: Customer > Extended Lookup
What the Customer Extended Lookup Form Is Used For
The Customer Extended Lookup Form allows users to:
•Search and filter customers using advanced criteria
•Perform bulk updates on multiple customer records
•Analyse customer sales, activity, and behaviour
•View loyalty card, invoice, payment, and journal information
•Generate reports and pivot-based summaries
Key Features
Customer Filtering
Use advanced filters to locate specific customers by:
•Customer details
•Status and classification fields
•Dates (opened date, last purchase, birthdays, etc.)
Open Customer Form
Open and edit individual customer records directly from the grid.
Customer Enquiry Access
Open the Customer Enquiry Form to view:
•Invoices
•Payments
•Journals
•Credit notes
for a selected customer account.
Loyalty Card Information
View loyalty card details, including:
•Loyalty points
•Related invoices
•Expiry dates
Customer Sales Analysis
Analyse customer performance by:
•Tracking sales growth
•Calculating average sales per customer
Sales History Tab
View a detailed history of all purchases made by a customer.
Analysis Tab
Summarise customer data using:
•Summary reports

Bulk Actions in Customer Extended Lookup Form
Purpose
Bulk actions allow you to apply changes to multiple customer records at once.
How to Perform:
1. Go to: Customer > Extended Lookup > Bulk Change Selected tab.
2. Select customers by:
•Ticking individual checkboxes in the grid.
•Using filters and selecting Select All to choose all filtered customers.
3. Apply one or more of the following bulk updates:
•Loyalty Card Expiry Date– Update loyalty card expiration dates
•Price Level – Change the assigned price level
•Credit Limit – Modify the credit limit for selected customers
•Active / Inactive – Set customer status for system or integration use
•Classification and CRM Fields – Update all classification and CRM-related fields
•Branch – Reassign customers to a different branch
•Warehouse – Change the default warehouse
•Allocation Type – Set payment allocation method (Amount or Linked)
•Sales Tax Override – Apply a specific sales tax override for selected customers
•Tax System – Update the tax system applied to customers
•Pricing Type – Set pricing method, such as:
•Price Level
•Cost
•Markup on Minimum
•Branch Price Level
•Discount Rate – Update customer discount rates
•Line Discount – Apply or modify line item discounts

Common Reports You Can Generate from the Customer Extended Lookup Grid
The Customer Extended Lookup Form supports a variety of grid-based reports for detailed insights.
Below are examples of reports you can generate:
1. Accounts opened this month.
Filter the Date Opened column to the current month.
See also First Invoice Date to identify the first purchase date.

See also the First Invoice Date column for the date of first purchase.
How Many Web Clients Do We Have?
Web clients are identified by:
•Customer codes prefixed with “web-”
•Filtering Status 1, Status 2, or Lead Source fields in the Analysis Tab
Loyalty Cards Expiring This Month
Filter loyalty card expiry dates to show cards expiring in the current month.
Customers with Birthdays This Month
Filter the customer Birth Date field for the current.
Days Since Last Purchase
Use the Sales History Tab or relevant date fields to calculate days since the last purchase.
First Invoice Date
Use the First Invoice Date column to identify when a customer made their first purchase.
Suspended Customers
Filter the Suspended field to display all suspended customers.
